Who will own my data once I submit it?

Why do you need my information?
We need your information so that we can plan and deliver Employer Engagement Events. This can include managing your registration, communicating event details, ensuring accessibility needs are met, and creating safe and organised environments for all attendees. We may use the information to evaluate the event and improve future employer engagement activities. We may also use the information to send out a follow up email after the event.
When you attend the event you can complete a Microsoft Forms questionnaire to let us know if you would like us to contact you with more information. You can choose to do this by scanning a barcode and completing online. Alternatively, you can choose to respond to a follow up email with a link to the questionnaire after the event.
What Personal Information do we collect?
We may collect the following information when you register or attend the event:
Name (forename and surname)
- Pronouns
- Job title
- Organisation
- Phone number
- Email address
Photographs
We will endeavour not to take identifiable pictures, however if you do not want to appear in any imagery please let our photographer know.
If during the event we look to take promotional imagery we will ask for your consent if you will be identifiable.
What allows you to use my information?
The relevant lawful bases for KMBC’s processing of any personal data personal data that may be shared between the partners are as follows:

The data subject has given consent to the processing of his or her personal data for one or more specific purposes.
Participants have the right to withdraw their consent at any time and Knowsley Council will destroy their data.

Who will my information be shared with?
- Event partners and co – hosts (if applicable and only where relevant)
- If an event is organised in partnership with colleague/s from other boroughs from across the Liverpool City Region, your data may be shared with them for their internal reporting purposes.

- Halton
- Sefton
- Wirral
And any others.
- If you request further information after the event, we may share your data with colleagues in other boroughs across the Liverpool City Region if your business is based there so they can provide support, share relevant information, and assist you in offering opportunities to young people in your area.

- Venue providers (minimum necessary data) with regard to access requirements or parking details.
- Catering teams (minimum necessary data) with regard to dietary information.
Photographs
These may be used for promotional or reporting purposes.
These may be shared with the public via Knowsley Council’s social media platforms. These could include:

- X / Twitter
- Bertha
- Knowsley News
- Local Offer website
Your information will be used in publicity materials for Knowsley Council online, on social media and in media coverage. Once published, it may appear on the internet for an indefinite period.
Please be aware that once the video is made available to our social media feeds this will be accessible via internet searches and, if copies are made of the video by internet users, it may remain accessible via the internet even after Knowsley Council have removed the video from our social media feeds.
Do I have to provide this information and what will happen if I don’t?
Our lawful basis for processing your data for this purpose is based on consent. You therefore have the choice as to whether you want to participate in this project and provide your consent as part of this.

How long will you keep this data for and why?
Your data will be retained for as long as necessary to manage the Employer Engagement event you attend and to meet reporting/evaluation requirements. Your data will be stored for a maximum of 12 months after the event so that we can evaluate the event, follow up with attendees, and if required plan future engagement activities. After this period, your data will be confidentially destroyed.
How will my information be stored?
Your information will be stored electronically on a council secured server. This will prevent any unauthorised/unlawful processing. It will also prevent accidental loss, destruction or damage from a technical and operational perspective as IT have backup systems in the case of such eventualities.
Will this information be used to take automated decisions about me?

What rights do I have when it comes to my data?
You have the right to withdraw your data at any time throughout the project.
Under the Data Protection Act (DPA) 2018/ UK General Data Protection Regulation (UK GDPR), you have the following rights with regards to your personal data: -
- The right to subject access – you have the right to see a copy of the personal data that the council holds about you and find out what it is used for.
- The right to rectification – you have the right to ask the council to correct or remove any inaccurate data that we hold about you.
- The right to erasure (right to be forgotten) you have the right to ask the council to remove data that we hold about you.
- The right to restriction – you have the right to ask for your information to be restricted (locked down) on council systems.
- The right to data portability – you have the right to ask for your data to be transferred back to you or to a new provider at your request.
- The right to object – you have the right to ask the council to stop using your personal data or to stop sending you marketing information, or complain about how your data is used.
- The right to prevent automated decision making – you have the right to ask the council to stop using your data to make automated decisions about you or to stop profiling your behaviour (where applicable).
