Who Will Own My Data Once I Submit It?

What Personal Data Do You Process?

Knowsley Metropolitan Borough Council will process the following personal data about those making applications to the Knowsley Community Fund:

  • Name
  • Date of Birth
  • Address (organisation)
  • Email address (personal or organisation)
  • Contact telephone number (personal or organisation)
  • Job title
  • Position in organisation
  • Whether employed by the council
  • Whether connected to elected members
  • DBS information (disclosure numbers etc).  This information is not requested on the application form and will only be asked for in very limited circumstances
  • Information Sourced from Council records from Exchequer Services such as Sundry Debtors and Business Rates
  • Information sourced from publicly available sources such as Companies House, the Insolvency Register etc

Why Do You Need My Information?

The Council requires this information in order to assess your application so that we can:

  • Confirm account validity
  • Confirm your identity
  • Make payments of the awards
  • Detect and prevent fraud and error
  • Make sure public money is used correctly
  • To safeguard children and vulnerable individuals

Will You be Collecting or Processing Special Category Personal Data?

We will not collect or process any special category personal data including:

  • Personal data revealing racial or ethnic origin
  • Personal data revealing political opinions
  • Personal data revealing religious or philosophical beliefs
  • Personal data revealing trade union membership
  • Genetic data
  • Biometric data (where used for identification purposes)
  • Data concerning health
  • Data concerning a person’s sex life
  • Data concerning a person’s sexual orientation

What Allows You to Use My Information?

In accordance with the following:

  • Article 6(1)(e) of the UK GDPR, which states that processing is necessary for the performance of a task in the public interest.  The Council has statutory responsibilities regarding safeguarding; detecting and preventing fraud; and ensuring public monies are spent wisely.
  • Article 6(1)(f) of the UK GDPR, which states that processing is necessary for the purposes of a legitimate interests pursued by a controller, such as Knowsley Metropolitan Borough Council or a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of an individual, which require a protection of personal data. The Council has a legitimate interest in sharing information with One Knowsley to assess applications for grant funding.

Who Will My Information Be Shared With?

Other Council teams so they can carry out their statutory roles and support our service e.g. Communities and Neighbourhoods, Departmental Heads of Services or their designated representatives, Financial Management Services, Elected Members, and colleagues from One Knowsley who will form part of the Funds assessment panel.

Should we pass your information to organisations relevant to the grant programme we will ensure they meet the standards of the UK GDPR and the Data Protection Act 2018 and will be covered by a legal basis allowing them to collect, use and share your personal information.

Do I Have to Provide This Information and What Will Happen If I Don’t?

If you are not able to provide some or all of the information, we may not be able to assess your application for the Knowsley Community Fund. Organisations are able to withdraw their grant funding application at any stage. Following the withdrawal of the application personal information will be retained in line with Council retention periods, however, the personal information will not be further processed. Organisations can withdraw their application by contacting stronger.communities@knowsley.gov.uk

How Long Will You Keep This Data for?

Personal data will not be retained for longer than necessary in relation to the purposes for which they were collected. There is usually a legal reason for keeping your personal information for a set period of time. The retention period is 6 years.

How Will My Information Be Stored?

Data is stored in secure Council IT systems. The Council takes data control seriously and has internal policies and controls in place to try to ensure data is not lost, accidentally destroyed, misused, or disclosed and is not accessed except by its employees in the performance of their duties.

What Rights Do I Have When It Comes to My Data?

You have the right under the UK GDPR to request a copy of your information and to know what it is used for and how it has been shared. This is called the right of subject access.
